The products look good, and then there is nothing telling the buyer the minimum order, when it ships, or how to pay. This is a field-by-field guide to what belongs on one, and the omissions that cost you orders.<\/p>\n\n\n\n<p>If you are still deciding <em>which<\/em> document you need \u2014 line sheet, lookbook or full catalogue \u2014 start with our <a href=\"https:\/\/www.nowinstore.com\/catalog-template\">guide to the four catalogue types<\/a> and come back here once you know it is a line sheet you want.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">What goes against each product<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Product name<\/strong> \u2014 how you refer to the style, consistently, everywhere<\/li>\n<li><strong>Style or item number<\/strong> \u2014 this is what ends up on the purchase order, so it has to be unambiguous. The most commonly omitted field, and the one that generates the most back-and-forth email<\/li>\n<li><strong>A clean product photo<\/strong> on a seamless background \u2014 one per style, same crop and lighting across the whole sheet<\/li>\n<li><strong>Wholesale price<\/strong>, per unit, expressed as &#8220;each&#8221;<\/li>\n<li><strong>Suggested retail price<\/strong> \u2014 buyers work in margin, and showing the RRP does that arithmetic for them instead of making them do it<\/li>\n<li><strong>Variants<\/strong> \u2014 colourways, materials, and the size run if you sell in packs<\/li>\n<li><strong>Case pack or minimum per style<\/strong> \u2014 how many units make a sellable unit<\/li>\n<li><strong>Composition and country of origin<\/strong> \u2014 required by some retailers, and a selling point if it is a good story<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">What goes on the sheet as a whole<\/h2>\n\n\n\n<p>This is the half that gets forgotten, and it is the half a buyer checks first.<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>Minimum order value or quantity<\/strong> \u2014 genuinely the first thing most buyers look for. Leave it off and they assume the worst<\/li>\n<li><strong>Season and order window<\/strong> \u2014 which season this is, and by when they need to commit<\/li>\n<li><strong>Delivery window<\/strong> \u2014 when stock actually ships, not when you hope it will<\/li>\n<li><strong>Payment terms<\/strong> \u2014 proforma, net 30, whatever applies. Say it up front rather than negotiating later<\/li>\n<li><strong>Currency<\/strong>, stated explicitly if you sell across borders<\/li>\n<li><strong>An expiry date on the sheet itself<\/strong> \u2014 so last season&#8217;s prices stop circulating in inboxes<\/li>\n<li><strong>Contact details and how to order<\/strong> \u2014 email, portal, rep, whatever it is<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">What makes a buyer order from it<\/h2>\n\n\n\n<p><strong>Lead them.<\/strong> Buyers appreciate direction and most brands don&#8217;t give any. Flag the new styles, mark the best sellers, show what coordinates with what. A small banner on a product photo does more work than a paragraph of copy.<\/p>\n\n\n\n<p><strong>Make it scannable.<\/strong> A buyer may be working through thirty brands in a week. Consistent grid, consistent photo treatment, prices in the same position on every row. Anything that makes them hunt costs you.<\/p>\n\n\n\n<p><strong>Send a PDF.<\/strong> Not a link that expires, not a folder of images, not a spreadsheet with photos pasted in. One PDF they can forward internally, annotate and print. If you are showing at a trade show, bring it printed as well.<\/p>\n\n\n\n<p><strong>Give each style room.<\/strong> A twelve-page line sheet that reads cleanly beats a three-page one that doesn&#8217;t.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Six mistakes that stop orders<\/h2>\n\n\n\n<ul class=\"wp-block-list\">\n<li><strong>No item numbers.<\/strong> The buyer cannot raise a purchase order from a product name alone.<\/li>\n<li><strong>Wholesale price only.<\/strong> Show the RRP too, so the margin is visible at a glance.<\/li>\n<li><strong>No minimum order stated.<\/strong> Buyers either assume it is unaffordable or move on.<\/li>\n<li><strong>Styled, on-model photography.<\/strong> Beautiful, and wrong for this document \u2014 it makes styles hard to compare. Save it for the lookbook.<\/li>\n<li><strong>Inconsistent photo treatment.<\/strong> Mixed backgrounds and crops make a collection look like a marketplace listing rather than a brand.<\/li>\n<li><strong>No date and no expiry.<\/strong> Old sheets circulate for years and you end up honouring prices you set three seasons ago.<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\">When you need one<\/h2>\n\n\n\n<p>The moment you sell to anyone who will resell your product: approaching a stockist for the first time, exhibiting at a trade show where buyers expect to leave with one, launching a season to existing accounts, or any time a buyer says &#8220;send me your line sheet&#8221; \u2014 which they will.<\/p>\n\n\n\n<h2 class=\"wp-block-heading\">Building one<\/h2>\n\n\n\n<p>Three routes. Design it yourself in Illustrator or InDesign, which gives full control and costs the most time. Or generate it from the product data you already hold.<\/p>\n\n\n\n<p>If your products already live in Shopify, BigCommerce, WooCommerce, Wix or Ecwid, <a href=\"https:\/\/www.nowinstore.com\/foldsquare\">Foldsquare<\/a> pulls names, item numbers, wholesale and retail prices and variants straight through, so the sheet updates when your catalogue does instead of being retyped every season.<\/p>\n\n\n\n<p>Whichever route you take, run the test at the top.
